How This Brain Works

One shared folder holds everything your companies know, every rule the AI follows, and every tool it can run. Read this page once and you can use all of it. You own and approve; the AI drafts and organizes; nothing goes out the door without your word.

The Folders

Eleven Folders, Plain English

FolderWhat It Holds
RulesHow the AI writes and behaves: your voice, audiences, tones, and the hard limits
FactsWhat is true: services, pricing guidance, competitors, FAQs, decisions you have made
BrandBoth brands' logos, colors, and kits, in separate subfolders that never mix
TemplatesReady-made starting points: emails, LinkedIn, proposals, prompt snippets
SkillsTools the AI can run, plus the quality-control scripts that keep everything honest
WebsiteThe real source of your websites. Edit here and the preview updates itself
HubThis site. It redeploys itself every time the Brain changes
DraftsWork in progress: your folder, DJ's folder, and the review queue. Never official
ApprovedOnly what you have approved. The truth the AI trusts most
LogThe diary: every change, newest first
ArchiveOld versions. Retired, never deleted
When files disagree, trust runs Approved over Facts over Drafts. If a fact is not in Approved or Facts, the AI treats it as UNKNOWN and asks you instead of guessing.

The Lifecycle

How Work Becomes Official

1

Draft

The AI builds from templates and recorded facts. Placeholders mark every gap; nothing is invented.

2

You Review

You read, mark up, decide. Your answers get filed into Facts so the Brain learns permanently.

3

Approved

The approved copy is promoted; old versions retire to Archive. Only now may it go external.

Every change also gets a dated entry in the Changelog. That is how two people and an AI stay honest about what moved and why.

The Hard Rules

What The AI Will Refuse To Do

RuleWhat It Means
Never Invent FactsPrices, study counts, statutes, credentials: sourced from Facts or marked UNKNOWN with a placeholder
Florida Is Brand-ScopedPrime Reserve Planning never markets Florida. Homeowner Insights, LLC is Florida only
No Fear-SellingNo collapse imagery, no Surfside references, no ticking time bombs. We inform, we never frighten
Client ConfidentialityNo client names, finances, or property conditions go external without recorded written permission
Nothing External Without DavidDrafts stay gated until your approval is recorded. Urgency never bypasses this
The Name Rule"Homeowner Insights, LLC" official, "HI-LLC" shorthand, never bare "HI". The sibling is "Prime Reserve Planning" in full, never "PRP" client-facing
House StyleNo em or en dashes in deliverables. Exclamation points only on Homeowner Insights, LLC copy. Phones as (xxx) xxx-xxxx

The Skills Roster

What The AI Runs On Request

SkillSay Something LikeWhat It Does
prompt-enhancer(runs silently on every request)Scores your ask and either proceeds or asks two or three quick multiple-choice questions first
add-city-page"Add a city page for Venice"Builds one Florida city page with live-search verified local facts. Refuses to invent local color
new-blog-post"Draft the next blog post"Writes the next article from the Florida keyword calendar with statute discipline and attorney flags
pre-delivery-scan"Scan this before I send it"Runs the output checklist: names, dashes, phones, banned phrases, brand mixing. Script-backed
deploy-preview(rarely needed now)The manual zip fallback. Normally the site ships itself: every push to the Brain redeploys the preview automatically
file-davids-answer"File this answer from David"Files an answer into canonical Facts, clears the placeholders it resolves, checks off the question
competitor-refresh"Refresh competitor intel"Re-runs the live Florida competitor search and patches Facts with dated observations
The full catalog, including add-ons worth installing next, lives on Skills & Add-Ons.

Try It

Good First Asks

A Fact Check

"What does a Full Reserve Study typically cost, and where is that recorded?"

A Draft

"Draft an intro email to a property manager in Sarasota. Keep it under 150 words."

A Lookup

"Where does the SIRS pricing guidance live, and what is still waiting on me?"

A Safety Net

"Scan this draft before I send it." The AI runs the pre-delivery checks and reports what it fixed.
